A: BOOKING AND PAYMENT
1. Retainer and Cancellation Policy
The initial booking fee (retainer) secures the specified date and time slot and is non-refundable under all circumstances. a. If the Client cancels with more than seven (7) days’ notice, a credit note for the retainer will be issued, valid for a future booking within 12 months. b. Date changes requested with fourteen (14) or more days’ notice will be accommodated subject to DJ availability, with the original retainer applied to the new date.
2. Final Payment Terms
For all private bookings, the outstanding balance of the service fee is due in full at the commencement of the event, immediately following the completion of the DJ’s setup. Payment must be made in cash unless otherwise agreed upon in writing.
B: LOGISTICS AND FEES
3. Travel Surcharge
A travel surcharge, ranging from £20 to £ 60 per event, will be applied to cover time and fuel costs for venues located more than 20 miles or 45 minutes (one-way, as per Google Maps) from the DJ’s base location. The exact fee will be confirmed upon booking.
4. Setup and Punctuality
The DJ will aim to arrive 30-45 minutes prior to the start time for a standard setup, or 45-60 minutes for complex setups involving add-ons. The Client is entitled to a deduction of £10.00 from the final balance for every fifteen 15 minutes the music start time is delayed due to the DJ’s tardiness.
5. City Centre and Access Surcharge
Due to the difficulties associated with city centre logistics (including restricted vehicle access and complex loading zones), a minimum surcharge of £50 will apply to events located within the centres of Leeds, Wakefield, Huddersfield, Bradford, Harrogate, York & Doncaster.
6. Access Requirements and Surcharge
Should the setup location require transporting equipment up or down stairs, an access surcharge will apply: £10.00 for one floor level and £20 for two or more floor levels.
7. Parking Provision
The Client is responsible for securing suitable, free, on-site parking for the duration of the event. Where free on-site parking is unavailable, an additional £10 surcharge will be added to the final cost to cover parking expenses.
C: PERFORMANCE AND SERVICE
8. Music Policy
The DJ will prioritise music selection based on the following hierarchy: 1) The Client’s requests, 2) The crowd’s engagement, and 3) The venue’s requirements. The DJ will strictly adhere to any specific artist, song, or genre exclusion lists provided by the Client.
9. Playlist Submission
All music requests and official playlists must be submitted via Spotify link, email, or text message no later than five (5) days prior to the event. Playlists containing rare, non-standard, or obscure tracks requiring specialised sourcing and conversion may incur an additional fee, to be quoted in advance.
10. Volume Control
The Client is responsible for communicating any volume concerns to the DJ immediately. The DJ will adjust the audio level to the Client’s satisfaction, subject to any sound restrictions imposed by the venue or local authorities.
11. Overtime
Any request for extended performance time (overtime) must be mutually agreed upon between the Client and the assigned DJ on the night. If digital payment for overtime is required, an administrative surcharge of £10 will apply and payment must be received before the extended time period commences.
12. DJ Assignment and Dress Code
DJ Sime reserves the right to assign the most suitable and available highly-experienced DJ for each event. The standard dress code is clean and smart-casual; any specific dress code must be specified by the Client during booking.
D: LIABILITY AND INDEMNITY
(CRITICAL PROTECTIONS)
13. Venue & Power Requirements
The Client must ensure that the performance area is dry, secure, and covered (if outdoors). The Client is responsible for providing a safe and reliable power source with adequate capacity. The DJ reserves the right to decline or cease performance without penalty if the area or power supply is deemed hazardous or inadequate, in which case full payment will still be due.
14. Equipment Use and Liability
The DJ’s equipment is strictly for use by the assigned entertainer only. The Client agrees to be held responsible for the full cost of repair or replacement for any damage to the equipment caused by the Client, their guests, or any unauthorised third party.
15.Force Majeure
The DJ shall not be liable for any failure to perform their obligations where such failure is caused by an event beyond their reasonable control, including but not limited to, acts of God, extreme weather, sudden illness, power failures, governmental acts, or venue closure. In such events, the Client agrees that the DJ’s liability is limited to the refund of payments received, excluding the non-refundable retainer.
16.Indemnity and Liability
The Client agrees to indemnify and hold harmless the DJ against any and all claims, damages, and liabilities for personal injury, property damage, or loss that arises from the performance of the DJ’s duties, except in cases of proven gross negligence or intended misconduct by the DJ. The Client confirms that the venue has appropriate Public Liability Insurance (PLI) and agrees to inform the DJ of any specific venue regulations.
